1. Who we are

ReplyMaya, Inc. ("ReplyMaya", "we", "us") provides an AI receptionist service that answers, transcribes, and routes phone calls on behalf of small businesses ("Customers"). This Policy explains how we handle information from Customers and from people who call a Customer's business line ("Callers").

2. Information we collect

From Customers: name, email, business name, business phone, payment information (processed by Stripe), and configuration data such as business knowledge, calendar links, and forwarding numbers.

From Callers: phone number, voice recordings, transcripts, names and contact details voluntarily provided during a call, and call metadata (duration, timestamp, outcome).

3. Marketing text messaging (SMS) consent and opt-out

ReplyMaya sends marketing SMS messages only to people who provide their mobile number directly to ReplyMaya and actively agree to receive marketing texts from ReplyMaya. The opt-in call to action appears on the public ReplyMaya Done-For-You form at https://www.replymaya.com/done-for-you. The SMS checkbox is unchecked by default. To opt in, a visitor enters their mobile phone number, checks the SMS consent box, and submits the form.

The consent language states: "I agree to receive recurring marketing text messages from ReplyMaya at the mobile number provided, including product updates, offers, and follow-up about my request. Consent is not a condition of purchase. Message frequency is up to 4 messages per month. Message and data rates may apply. Reply STOP to unsubscribe or HELP for help."

Messages may include ReplyMaya product updates, promotional offers, referral offers, educational content, and follow-up after a ReplyMaya form submission. Message frequency is up to 4 marketing messages per month. Message and data rates may apply.

We do not sell, rent, or share mobile phone numbers or SMS consent with third parties or affiliates for marketing or promotional purposes. Mobile numbers are used only to provide, support, and communicate about ReplyMaya.

You can opt out of text messages at any time by replying STOP to any message or by emailing privacy@replymaya.com. Reply HELP for help. After opting out, you will receive a final confirmation message and no further texts unless you opt back in.

4. Service-related text messages

Separately from the ReplyMaya marketing SMS program, active customers may receive service-related messages they request or enable in their account, such as onboarding reminders, appointment confirmations, account activity alerts, missed-call summaries, and support replies. Service-related message frequency varies based on account, onboarding, booking, and support activity. Reply STOP to opt out or HELP for help.

5. How we use information

To provide the service: answer calls, transcribe audio, generate summaries, book appointments, deliver notifications to Customers, and improve speech recognition and response quality. Aggregate, de-identified usage may be used to improve the product.

6. Call recording & consent

ReplyMaya records inbound calls. Maya is configured to disclose recording at the start of every call. Customers are responsible for complying with two-party consent laws in their jurisdiction (including California, Florida, Illinois, Maryland, Massachusetts, Montana, New Hampshire, Pennsylvania, and Washington in the US, plus EU/UK/Canada/AUS equivalents). By using ReplyMaya, Customers represent they have authority to record their inbound calls and that recordings will be handled in compliance with applicable law.

7. Sharing

We share data with subprocessors strictly to deliver the service: Vapi.ai (call handling), ElevenLabs & Deepgram (voice and transcription), OpenAI (response generation), Stripe (payments), Supabase / Lovable Cloud (hosting and storage). We do not sell personal information.

8. Retention

Call recordings and transcripts are retained for up to 12 months by default. Customers can request earlier deletion at any time by emailing privacy@replymaya.com.

9. Your rights

Depending on your jurisdiction, you may have rights to access, correct, delete, or port your personal data, and to object to or restrict processing. Contact privacy@replymaya.com to exercise these rights.

10. Security

We use industry-standard encryption in transit and at rest. No system is perfectly secure; we will notify affected users of confirmed breaches as required by law.
